The Challenge

As resident care was becoming increasingly complex, we remained committed to delivering exceptional service while maintaining robust record-keeping, care planning, and systems. However, this dedication was putting growing strain on our team. We identified Carey as a potential solution to assist with monthly care plan updates, audits, and daily monitoring of critical care aspects—such as food and fluid intake, bowel movements, and repositioning—that can sometimes be overlooked.

From our Group's perspective, they sought a tool that could provide operational oversight without requiring staff to manually sift through detailed logs. While our existing care planning software confirmed task completion, it still needed someone to thoroughly review everything to identify trends like a resident's declining mood.

 

Implementation Process

When introducing Carey-AI, we established a clear objective: full adoption by all care personnel by the end of the pilot.

We implemented a phased approach, beginning with myself, my Deputy, and group personnel. To ensure quality control, we initially focused on a small number of residents. The Quik team provided excellent support, working collaboratively with us to resolve any issues. From the outset, Carey proved invaluable, quickly identifying important trends, such as residents who hadn't had bowel movements for several days or those with insufficient food intake - with the same effectiveness as our human team.

As Carey's accuracy was validated, we expanded its use to front-line staff a few weeks later. Training was remarkably efficient, requiring only 5-10 minutes to instruct each senior team member. The user-friendly interface was particularly beneficial for staff less confident with technology.

Today, Carey is fully integrated into our daily operations. All team members, myself, the Deputy, seniors, and carers run standard reports daily to monitor resident needs. Additionally, we utilise Carey to identify care trends, update care plans, and conduct comprehensive audits.

Results

Significant Time Savings

Carey has dramatically reduced the time required for care plan updates and audits. Previously, seniors would spend 1.5 hours updating care plans, while management audits took 60-90 minutes. Now, senior’s complete updates in approximately 45 minutes, and management audits take about 45 minutes or less.

This efficiency has transformed our team's morale. With senior staff spending less time on administrative tasks, they can be present on the floor, providing hands-on leadership and support to colleagues. As a result, our team now operates more cohesively and effectively.

Enhanced Audit Trails

The ability to add notes to audits has been another exceptional feature. Senior staff can save their observations, and I can easily review the changes made throughout the audit process.

Improved Clarity and Consistency

Carey's auditing system has been instrumental in establishing clear guidelines for care plan content, significantly boosting our confidence in the accuracy and comprehensiveness of our documentation. Additionally, Carey serves as an excellent training tool for new staff writing portions of care plans, as she can quickly identify any omissions.

Information Accessibility

One of my favourite features is the Carey dialogue box, which allows me to ask any care-related questions, whether about specific care plans or broader topics, and receive immediate, relevant information. This eliminates time spent searching through our care planning software or online resources. Carey tailors’ responses to my specific inquiries, which is remarkably efficient.

Responsive Support and User-Friendly Design

Carey's technical team provides consistent, reliable support, and their customer service has been exceptional. The intuitive design makes navigation straightforward. If issues arise, the resolution process is simple - just hover over the item, give it a thumbs down, and the tech team is notified. They typically implement fixes the same day or the next, depending on urgency.

Senior Management Oversight

My Area Manager has found it much easier to quickly understand new residents, as she can ask Carey summary questions about their care plans. Additionally, our management team completes audits more efficiently and thoroughly than before. This alignment ensures we're all working with the same information when reviewing audits, resulting in better outcomes for residents and improved understanding across my team.
